Admin Support Assistant - Library Assistant (MC)
This position typically performs basic administrative tasks and deals courteously and effectively with fellow employees and citizens.
Responsibilities
- Provides administrative support for the department, including understanding complex processes, data, and operations.
- Performs administrative duties such as basic typing, scanning, filing, answering telephones, taking messages, copying, computer operation, data entry, and review.
- Assists the public with customer service, including helping customers obtain a library card.
- Provides reference services to library customers (walk-in, telephone, email) using the Internet, online databases, and various resources.
- Delivers quality customer service, conducts readers’ advisory, and assists customers in using computers and library resources.
- Assists with children’s/youth/adult programs and community outreach.
- Creates and sets up bulletin boards and other displays; contributes material recommendations for collections.
- Maintains knowledge of the circulation system by working at service desks as scheduled.
- Creates and maintains documents and databases, coordinates meetings and special events, and updates supervisor on critical issues/events.
- Responds in detail to information requests and reviews/updates administrative procedures; prepares and files required metrics and regulatory reports.
- Provides clerical support to staff and assists with public inquiries; takes precise messages and ensures prompt delivery to staff.
- Orders, issues, and maintains office materials/supplies; handles mail and shipments; performs data entry and review.
- Assists with opening and closing procedures of the department; may attend and record minutes for meetings.
- Performs other duties as assigned.
Minimum Requirements To Perform Work
- High School diploma or equivalent
- Two (2) years of related administrative experience
Special Requirements
- Data Entry/Basic Skills score of 71; Word score of 45 and Excel score of 40 required
- Departmental testing may be administered during interview
- A criminal background check will be completed for selected applicants if a current one is not on file
Knowledge, Skills And Abilities
- Knowledge of personal computers, including Word and Excel
- Clerical skills including filing, customer service, math, data entry, and grammar usage
- Ability to use general office equipment and to accept payments
- Ability to manage inventory and property
Physical Demands
This position requires sitting, handling, reaching, repetitive motion, and the ability to walk, talk, and hear.
May occasionally lift up to 25 pounds.
Vision requirements include close, distance, color, peripheral, depth perception, and focus adjustment.
Work Environment
Work is performed in a safe, secure environment.
Normal schedule is 37.5 hours per week, with hours typically 9:00am–7:00pm Monday–Thursday and 9:00am–5:00pm Friday–Saturday.
Hours and duties are subject to change.
May require extra hours during emergencies.
