Administrative Assistant/Office Coordinator



Job description

We have an immediate need for an Administrative Assistant/Office Coordinator to keep company operations running smoothly and support our masonry division.

Work hours are Monday through Friday from 9 a.m. to 5 p.m.

Job Responsibilities:

  • Answer and direct incoming phone calls and provide customer service support to clients and vendors
  • Manage biweekly payroll through iSolved (Ahola)
  • Maintain employee records and assist with onboarding
  • Oversee company healthcare administration, including enrollment, and employee updates
  • Prepare, format, and send proposals and estimates to clients
  • Track leads, open jobs, and project progress
  • Communicate with clients regarding scheduling and project updates
  • Enter job and expense information into QuickBooks accurately
  • Assist with reporting and reconciliations as needed
  • Manage customer lead management system in Trello
  • Maintain organized digital and paper files 
  • Order office supplies as needed
  • Assist sister company with phone calls and greeting customers in the showroom
  • Support management team with other duties as assigned

  • Job Qualifications:

  • Must have proven Administrative or Office Coordinator experience, preferably in construction, contracting, or a related field
  • Must be proficient in Microsoft Office Word, Excel, and Outlook with accurate data entry skills
  • Experience with QuickBooks and iSolved/Ahola Payroll Systems strongly preferred
  • Must have strong organizational skills while paying a high attention to detail
  • Must have excellent written and verbal communication skills
  • Must be able to manage multiple tasks and priorities in a fast-paced environment
  • Only those candidates that can pass a background check and drug screen will be considered.
