Job Summary
Reporting to the Director of Resources and Operations for the Lurie College of Education and receiving work lead from the Associate Resource Analyst, the Administrative Support Coordinator II will work under direct supervision to provide administrative support for the Academic Resource Office and the Deans Office.
Position responsibilities may include providing accurate, timely and consistent support for the faculty research, Institute for Emancipatory Education and other college ORUs; serve as the initial contact and provide customer service to students, faculty, administrators and the community.
Other work tasks include completing payments, preparing new hire packets, front line receptionist, and other various tasks associated with the Academic Resource Office and the Deans Office.
Key Responsibilities
Process appointment forms, requisitions, purchase orders and other related expenses for faculty research accounts which may include RSCA Fund, Tower Foundation and/or Research Foundation.Keep track of account balances for each faculty award and alert faculty of account details.Identify and determine cause of problems; develop and present recommendations for improvement of established processes and practices to Associate Resource Analyst.Create and maintain an electronic filing system for easy access by faculty, Associate Resource Analyst and DRO.Create and organize spreadsheets of trackable information and implement archival system for quick access and for data analysis.Provide administrative support for institutes and training units for Lurie CollegeOversee budgets for ORTUs and report to DRO and Associate Resource Analyst on a regular basisSupport the Director of Resources and Operations and the Associate Resource Analyst with daily operations of the Academic Resource Office.Backup office support for Dean’s Office.Act as front-line receptionist, answer phones, greet faculty, staff, students and visitors.Input required data into various databases for mentor teachers, faculty hires and budget spreadsheets. Thorough knowledge of methods, procedures and practices; English grammar, business writing, punctuation and spelling.Ability to compose and appropriately format correspondence and reports.Expertise in using office software packages (word processing, spreadsheet, database management), technology, and systems.Ability to perform accurately in a detail-oriented environment.Ability to plan and handle multiple work priorities, trouble shoot and organize work projects.Ability to maintain confidentiality and appropriately handle sensitive communications with employees and external agencies.Ability to quickly learn and apply a variety of state, federal, CSU, and SJSU policies and procedures.Ability to analyze and determine administrative routines and tasks needed for projects.Ability to analyze and report on trends (financial and operational) represented in historical data.Strong oral communication skills.
Must possess excellent customer service and public relations skills.Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.Ability to perform business math, review budgetary data, and make accurate projections requiring some inference.Ability to communicate with constituents in a professional and respectful manner. Completion of a high school program, technical/vocational program, or their equivalents.Three years of related office work experience. Preferred Qualifications
Demonstrated experience providing customer service.At least two years demonstrated experience handling multiple work priorities.Experience with DocuSign, MS Office, Adobe, Zoom, Google Suite and OnBase.Experience with SJSU systems FTS, CFS, CFS Data Warehouse, PeopleSoft, CSUBuy and CHRS.Experience preparing travel reimbursements, purchase requisitions, and purchasing transactionsExperience in managing and tracking budget allocations and reconciling financial transactions. Anticipated Hiring Range: $4,707/month - $5,096/month
CSU Salary Range: $4,058/month - $6,653/month
