Position Assistant Community Manager

The Assistant Community Manager is responsible for overseeing, under the supervision of the Community Manager, the everyday operations and financial functions of the housing community.

The role includes managing delinquency and rent collection to optimize the property's cash flow and financial position.

The Assistant Community Manager will handle all phases of operations, including personnel, leasing, maintenance, financial, administration and risk management in the absence of the Community Manager.

As an onsite leader, you will supervise all aspects of the property and staff to ensure compliance with company policies and procedures, safety and fair housing guidelines, and liability considerations.

Essential Duties & Responsibilities

Financial Management

  • Post payments and income received from applicants, current residents, and non-current residents accurately and timely.
  • Process and reconcile daily accounts receivable.
  • Monitor and follow up on bad debt, including late notices, resident and guarantor contact, and evictions.
  • Aim to help the property meet budgeted revenues, expenses, and Net Operating Income.
  • Post charges to resident and non-current resident accounts; include bill back of utilities where applicable.
  • Handle end-of-month closing procedures and reporting.
  • Maintain accurate records; audit resident files to ensure accuracy.
  • Walk units and post move-out charges, statements, and security deposit refunds.

Personnel Management

  • Regular/daily onsite attendance is required.
  • Screen, hire, train, coach, and develop onsite staff using consistent techniques and company directives.
  • Provide ongoing training, coaching, counseling, and guidance in compliance with Asset training benchmarks.
  • Promote harmony and quality job performance through supportive leadership.
  • Ensure staff compliance with Company policies and procedures.
  • Strategic leasing management; ensure effective leasing techniques, follow-up, lease signing/documentation, and accurate reporting systems.
  • Implement marketing strategies and systems from the annual marketing plan.
  • Address resident complaints, concerns, and requests to ensure satisfaction.
  • Develop and implement resident retention programs (e.g., resident functions, promotions, monthly newsletter).
  • Show, lease, and move in prospective residents.

Administrative Management

  • Maintain excellent customer service and monitor service request turnaround and maintenance staff responsiveness.
  • Maintain property appearance and ensure timely repairs; conduct regular property inspections and tours.
  • Assist with supervision of all business functions related to operations.
  • Plan for and utilize property resources, equipment, and supplies economically (e.g., obtain bids, work with vendors, address inadequate service).

Education/Experience

  • High School Diploma or Equivalent; Bachelor’s degree preferred or two years of experience in the housing industry; or one to two years related experience and/or training; or equivalent combination of education and experience.
  • Ability to understand and perform onsite software functions; basic computer skills required.
  • Basic knowledge of Fair Housing Laws and OSHA requirements.

Physical Requirements

  • Regularly required to remain in a stationary position; may stand or sit for prolonged periods; communicate with others; operate computer devices; and move about the property as needed.
  • Occasionally required to ascend/descend ladders, stairs, scaffolding, ramps, step stools; work in various environments including tight spaces; may lift and move objects up to 25 lbs; operate vehicles; work overtime, weekends, or night hours as needed for emergencies.
