Job description

Position Overview To inspire and prepare each and every scholar with the confidence, courage, and competence to achieve their dreams; contribute to community; and engage in a lifetime of learning.

The Assistant Activities Coordinator plays a critical leadership role in supporting the daily operations, compliance, equity, and development of a comprehensive 9–12 interscholastic athletics and activities program at a large, diverse senior high school of approximately 2,200 students.

This position collaborates with the Activities Coordinator, school administrators, coaches, students, and families to ensure all activities experiences are inclusive, safe, well-managed, and aligned with district goals and Minnesota State High School League (MSHSL) standards.

Salary: Pay Grade 116, $103,680 to $127,008 Job type: Full time; temporary for the 2025-26 school year * Bargaining unit: Management Personnel I-M *NOTE: Due to the temporary nature of this position, contractual claiming or bumping rights will not be granted for the individual hired into this position.

Key Responsibilities 1.

Activities Program Leadership & Event Coordination (40%) Assist in the coordination of over 30 athletic teams and activities programs across three seasons (fall, winter, spring), including varsity, junior varsity, and 9th grade/C squad.

Schedule and coordinate facility schedules for practices and competitions/events across indoor and outdoor spaces (gyms, stadium, fields) and resolve scheduling conflicts between advisors/coaches.

Coordinate contest and event logistics including but not limited to: confirm referees, book transportation with the district, manage concessions, prepare rosters and signage, and develop and implement a safety plan in accordance with district protocols to manage crowds.

Serve as the administrative lead in person at activity events ensuring positive fan behavior, adherence to district and school safety protocols, and event procedures.

Supervise, Coach Development & Oversee Administrative Operations (25%) Supervise and develop coaching staff including supporting the hiring and onboarding of 60+ seasonal coaches/advisors, ensuring completion of HR, MSHSL, and district training requirements.

The Assistant Athletics Coordinator has the authority to hire, evaluate effectiveness, manage performance and discipline in collaboration with the Athletics Coordinator and Human Resources.

In partnership with the Activity Coordinator, conduct regular observations of practices and competitions to provide feedback on coaching/advising effectiveness, student engagement, and adherence to district values.

In partnership with the Athletic Coordinator, assist with the evaluation process for all coaching staff for athletics and activities, including collecting feedback from students and families and holding coaches accountable to district policies and procedures.

In partnership with the Activity Coordinator, monitor and maintain athletic budgets, including uniform rotation schedules, purchasing of equipment, and timely processing of reimbursements working closely with district office staff.

Communication, Marketing & Community Engagement (15%) Review communication expectations with all coaches with access to student athletes including using district-approved platforms to communicate with students and unacceptable communication.

Create and maintain the school’s activities website and social media presence to highlight schedules, achievements, scholar-athletes, and team news.

Communicate regularly with families via newsletters, email, and texts about events, updates, and participation requirements.

Serve as a liaison to booster clubs and parent/caregiver groups, including helping coordinate fundraising and community sponsorships.

Collaborate with feeder middle schools and youth athletic/activity organizations to create alignment and promote early participation.

Student Activity Participant Support & Eligibility Compliance (10%) Oversee grade checks in collaboration with counselors and teachers to ensure students meet academic eligibility.

Coordinate and verify receipt of all student athlete required forms and authorizations, including physical exams, eligibility forms, and MSHSL compliance documents.

Develop and implement intervention plans with coaches/advisors and support staff for students who fall below academic or behavioral thresholds.

Maintain the digital eligibility database and ensure coaches/advisors have real-time access to participation status updates.

Equity, Access, & Inclusive Participation (10%) Actively monitor participation rates by gender, race/ethnicity, and program to identify and address disparities in athletic/activity involvement.

Partner with cultural liaisons and student affinity groups to engage underrepresented students in athletic/activity opportunities.

Lead coach/advisor training sessions in partnership with the Athletic/Activities Coordinator on culturally responsive coaching, mental health awareness, and anti-racist practices.

Promote inclusive team cultures by providing resources and professional learning for coaches/advisors on building welcoming environments for LGBTQIA+ students, students with disabilities and other underrepresented groups.

Qualifications Required: Bachelor’s degree in education, sports management, kinesiology, or a related field.

Minimum of three (3) years of experience as a secondary coach, teacher, or athletic program coordinator.

Strong understanding of MSHSL rules, student eligibility policies, and event management practices.

Proven ability to manage multiple projects, communicate with diverse stakeholders, and respond quickly in high-energy environments.

Ability to work flexible hours, including most evenings and weekends.

Preferred: Master’s degree in Athletic Administration, Educational Leadership, or related field.

Minnesota Tier 2 license or an administrative license/willingness to pursue.

Bilingual or multilingual candidates are encouraged to apply.

Experience with restorative practices and building equitable school-based systems.

Working Conditions Evening and weekend hours are required for game supervision and community events, and are essential job duties of this position.

Regular movement across school facilities, athletic fields, and gymnasiums.

Occasional lifting of equipment up to 25 pounds and setting up event spaces.

Shared office space in the athletics department.
