GENERAL SUMMARY/ OVERVIEW STATEMENT:

Reporting to the Sr. Director, Staffing and Professional Development, this position provides support to the Sr. Director and other senior staff of the Operations team at the Brigham & Women’s Hospital Development Office in the areas of Human Resources (HR) and Operations.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

This position supports the administration team of a growing Development Office.

The applicant should have an interest in human resources and a strong customer service focus and excellent people skills.

Should be able to effectively communicate and be a self-starter.

Able to manage multiple projects simultaneously, leading, and prioritizing deadlines as needed.

Regular responsibilities include: 

Recruiting

  • Provide support in the recruitment process: owning the scheduling of interviews, interview tracking and applicant correspondence, including employee referrals.
  • Set-up and maintain recruiting folders to collect candidate resumes.
  • Lead a weekly follow-up meeting to insure resolution of all candidates.
  • Submit, lead, and manage job postings using the Taleo system, (Workday as of January 1, 2025) including maintaining the development office career Join Our Team site.
  • Coordinate the posting process with the Central Enterprise team for paid postings and be responsible for posting to free sites.
  • Maintain resume and job descriptions tracking database in support of hiring efforts.
  • On-boarding Support

  • Meet with new hires on their first day to assist with computer set-up and systems access.
  • Work with the Officer, Operations to maintain and implement portions of the onboarding checklist.
  • Prepare workspaces, as appropriate, for all new employees, prepare orientation, digital employee reference manual, , take and upload new employee’ photos and the BDO facepages
  • Coordinate tours of the hospital provided to all new hires.
  • Administration

  • Under the guidance of the Officer, Operations, manage day to day UKG activity, including On-Call UKG staff time entries, and partnering with the Bulfinch timekeeper as needed.
  • Contribute to the weekly Operations Newsletter
  • Maintain internal operational documents for our employees.

  • Schedule meetings/Appointments and update calendars for team as requested.
  • Serve as the office timekeeper and liaison with timekeeper team, supporting the roll out of the Kronos replacement, UKG Dimensions.

  • Track employees on LOA’s, both when they are moved from the BDO to the LOA team, and when they return from the LOA team to the BDO.
  • Lead all aspects of timekeeping training for non-exempt employees.
  • Maintain close vigilance to On-Call submissions, working pro-actively to correct, when issues arise.

  • Provide administrative support as needed for the annual development office retreat.
  • Professional Development

  • Provide support for professional development and office management initiatives.
  • Working with the Officer, Operations, and Assembly Row Workplace Services IS, manage the scheduling of hybrid meetings and trainings using the appropriate technology outfitted conference rooms.
  • Maintain professional development database (collecting attendance cost information) producing actionable reports that includes working with PeopleSoft and HealthStream exported data.
  • Other

  • Function as backup for the following as needed.
  • Receiving and process incoming mail
  • Other duties/projects as assigned.
  • Qualifications

    QUALIFICATIONS:

  • High School Diploma or equivalent
  • 1 +year’s office experience
  • Excellent verbal and written communications skills with strong proofreading ability
  • Good digital literacy and the use of Microsoft Products, including PowerPoint and Forms.
  • Experience with Time and Attendance software, such as UKG Dimensions and Workday preferred, but not required.
