Job Summary:
The University of Colorado School of Medicine is seeking a full-time Academic Services Manager to join the Office of Undergraduate Medical Education (UME).
This role provides strategic and operational leadership for the clerkship phase of the MD curriculum, with a focus on Longitudinal Integrated Clerkships (LICs) in the Foothills curriculum.
The Academic Services Manager will supervise clerkship coordinators across multiple clinical sites, oversee curriculum planning, assessment, and evaluation to ensure comparability and compliance with CU, School of Medicine, and accreditation standards, and lead complex projects that improve processes and policies.
The position also provides high-level support to senior leadership, including the Assistant and Associate Deans and the Director of Clerkship Curriculum, making it an excellent opportunity for a collaborative professional with strong leadership, organizational, and project management skills.
Key Responsibilities:
Leadership and Supervision
Lead and supervise Foothills curriculum staff through recruitment, onboarding, training, mentoring, evaluation, and team building.
Develop and support staff growth by aligning professional development opportunities with individual goals and fostering a culture of flexibility, collaboration, and continuous improvement.
Oversee curriculum operations by ensuring effective delivery of Foothills curriculum components, maintaining policies and SOPs, and coordinating with faculty and leadership on staffing needs.
Ensure quality and compliance by promoting best practices, customer service, and ongoing training in curriculum processes, while monitoring workload and adjusting resources proactively.
Facilitate communication and collaboration across curriculum staff, educational units, and committees to support a dynamic, student-centered curriculum.
Contribute to UME leadership and operations by fostering cross-functional teamwork, developing best practices and Standard Operation Procedures (SOPs), and ensuring compliance with accreditation standards.
Foothills Strategic and Curriculum Support
Manage Foothills curriculum operations by learning and overseeing policies, processes, and annual workflows to ensure successful integration across all phases and sites.
Facilitate collaboration and communication through meetings, delegation, and coordination with stakeholders, committees, and leadership at CU and partner institutions.
Support curriculum quality and consistency by partnering with assessment and evaluation teams, monitoring clinical competencies, and ensuring comparability of didactic and clinical experiences across LIC sites.
Collaborate on curriculum strategy and delivery with faculty, site leaders, specialty liaisons, and departments such as Student Life, Educational Technology, and Instructional Design.
Develop and maintain curricular resources including process maps, teaching materials, facilitator guides, and centralized platforms to support faculty and students.
Daily Operations
Oversee daily curriculum operations including faculty participation tracking, student assessments, scheduling, communications, and data management while ensuring compliance with FERPA and accreditation standards.
Supervise frontline support and event coordination, providing exceptional service to faculty, students, staff, and external stakeholders, and assisting with curriculum sessions and OME events.
Manage committee operations and accreditation activities, including training staff, supporting Foothills teams and Deans, coordinating agendas and materials, and contributing to LCME compliance and reporting.
Manage budget and procurement activities by coordinating contracts, purchase orders, vendor payments, and approvals in compliance with university policies, while partnering with leadership to project budgets and optimize resources.
Support organizational initiatives through professional development, special projects, and other duties as assigned.
Work Location:
Hybrid – this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings.
Additional on-site days may be required as needed.
