Maintenance Contracts & Budget Coordinator

Employment Type: Part-Time (20 hours/week) with potential to increase in future
Schedule: Monday-Friday, 4 hours per day (7:00 AM - 11:00 AM or 8:00 AM - 12:00 PM)
Location: On-site only (no remote work available)
About the Role

We're seeking a detail-oriented Maintenance Contracts & Budget Coordinator to streamline our maintenance operations and financial processes.

This newly created position will manage maintenance contracts, invoicing, and budget tracking for our entire terminal operation with a $20 million annual budget serving 58 employees.

The ideal candidate will bring process improvement ideas and help us optimize our financial workflows.

Primary Responsibilities
  • Contract Management: Oversee and administer maintenance contracts, ensuring compliance and proper documentation
  • Invoicing & Billing: Process invoices, resolve billing discrepancies, and maintain accurate financial records
  • Budget Tracking: Monitor and track monthly budgets across departments to ensure financial accountability
  • Timesheet Management: Chase down and collect timesheets from team members to ensure timely payroll processing
  • Vendor Relations: Communicate confidently with vendors via phone and email to resolve issues and coordinate services
  • Process Improvement: Identify opportunities to streamline procedures and make operations more efficient
  • Financial Reconciliation: Resolve invoicing differences and ensure accurate accounting
Required Qualifications
  • Experience: Minimum 2 years in billing, accounting, or related field (3-5 years preferred)
  • Technical Skills: Proficient with computer programs and comfortable learning new systems (AS9 or Oracle training provided)
  • Financial Acumen: Strong math skills and experience with accounting/budgeting processes
  • Communication: Excellent people skills with confidence in vendor communications
  • Attention to Detail: Ability to track multiple contracts and budgets simultaneously
  • Availability: Must be available for in-person work during contractor office hours (7 AM - 4 PM window)
Preferred Qualifications
  • Light accounting or billing experience
  • Experience with budget management
  • Process improvement mindset
