About The Role

Summary

The Hardware Asset Manager is responsible for managing and configuring the Hardware Asset Management Pro (HAM Pro) module within the platform, overseeing the entire lifecycle of hardware assets, including procurement, deployment, maintenance, and disposal, by utilizing the advanced features of HAM Pro to track asset details, generate reports, and ensure compliance with company policies.

This is a Corporate position that is located in Missoula, MT.

The mid-rate for this position is $25.20 + / hour (All compensation offers are analyzed individually and take into consideration multiple factors including but not limited to geographic location, years of experience, and educational background.)

Duties and Responsibilities

Asset Lifecycle Management

  • Create and maintain accurate records of hardware assets within ServiceNow, including details like serial numbers, purchase dates, asset tags, and location
  • Manage the asset lifecycle from procurement to disposal, including tracking deliveries, and coordinating decommissioning
  • Configuration and AdministrationConfigure HAM Pro settings including custom fields, workflows, and business rules to align with specific organizational requirementsSet up asset categorization and tagging for efficient reporting and analysisManage user access and roles within HAM Pro to ensure data security and integrity
  • Reporting and AnalysisGenerate reports on asset utilization, maintenance costs, and compliance statusAnalyze asset data to identify trends and potential costs savings opportunitiesCreate dashboards to visualize key asset metrics for stakeholders
  • Integration with other systemsIntegrate HAM Pro with other ServiceNow modules like Incident Management and CMDB to provide a holistic view of IT assets.Establish data synchronization with external systems like procurement tools or accounting systems.
  • Collaboration and SupportWork closely with IT teams to ensure accurate asset data collection and maintenanceProvide training and support to users on HAM Pro functionalitiesTroubleshoot issues related to asset management within ServiceNow
  • Other ActivitiesReview previous night’s Discovery schedules for diagnosable errorsWork with the Discovery team on any errors related to discovery of HardwareReview any error logs, if applicable, from other data integrations (procurement etc.)Administer user access to the FedEx, UPS, Staples and Strive accounts in coordination with the Corporate Operations Specialists.Conduct physical inventory of IT assets quarterly and work with the financial department as needed to finalize the inventory resultsResponsible for the organization and efficiency of the shipping and receiving functions for the IT department, which includes maintaining adequate materials for tracking details and maintenance of the shipping room.Review Service Level Agreements (SLAs) on new hardware deployment for onboards / reclamation of hardware for offboardsPreparation of trend reporting on SLAs and discussion with both staff and key stakeholders on any issues or under-performanceReview of disposed assets to ensure they are properly managed in the system
  • Monthly

  • Meet with peers across the enterprise to review major Incidents or planned feature updates that impact other areas
  • Prepare for any known upcoming audits
  • Review any requests for enhanced feature functionality and prioritize accordingly
  • Ensure disposal regulations are met, disposal properly executed, and documentation maintained so that organizational data are secure, disposition choices are monitored and evaluated, software harvested, and disposition vendors audited

  • Review of new version release notes (every 6 months)
  • Identify and document changes to HAM functionality to help Process Owner understand impact (positive/negative) to implementation
  • Discuss with stakeholders (platform teams, cost center owners) upcoming upgrades or new functionality
  • Review and plan new communication plans to increase employee awareness of IT Asset Management for Hardware
  • Review HAM Maturity Journey
  • Participate with other Software Asset Managers in the community forums
  • Participate in local user groups and Knowledge events to expand ITOM knowledge
