Our client, is seeking a Director of Administration to lead its San Diego offices.

This is a chance to shape the future of a firm that combines precision, advocacy, and care in every matter it handles.

What You'll Do:

People and Culture

  • Lead hiring by partnering with recruiters, sourcing candidates, and promoting the employer brand.
  • Oversee onboarding and integration of new employees across all offices.
  • Monitor staff performance, attendance, and client service, working with Managing Partners on disciplinary actions when needed.
  • Coordinate the annual performance review process.
  • Coach and mentor staff to build a diverse, inclusive, and high-performing team.
  • Maintain confidential HR personnel files.
  • Ensure compliance training on harassment, workplace safety, cybersecurity, anti-discrimination, and diversity initiatives.
  • Administer employee benefits (health, vision, dental, life, FSA, COBRA, 401K), manage open enrollment, and resolve benefit issues.
  • Handle exit interviews, offboarding, and terminations when required.
  • Lead monthly Paralegal Meetings to address challenges, opportunities, and team alignment.
  • Organize staff recognition and appreciation events, including Staff Appreciation Day and Paralegal Day.


Operations and Finance

  • Manage daily office operations and business functions.

  • Create staffing plans and budgets for each office.

  • Work with Finance to handle expenses, track budgets, and maintain controls.

  • Build and manage vendor contracts and relationships.

  • Oversee facilities, including leases, office improvements, maintenance, and repairs.

  • Ensure offices comply with health and safety regulations.

  • Partner with IT to support daily operations and security.

  • Assist with payroll, time-off requests, licenses, and insurance when needed.

  • Order and maintain office supplies for all locations.

  • Lead monthly Directors' Meetings to improve collaboration and resolve issues.

  • Share important updates like court alerts, closures, and emergency plans.

  • Coordinate visitor access, meeting rooms, catering, and security.

  • Support Marketing with client events and projects.


What We're Looking For:

  • Bachelor's degree with 5+ years of office management experience in a law firm or professional services setting.
  • Proven leadership skills with experience coaching and developing staff.
  • Commitment to building a diverse, inclusive, and high-performing team.
  • Ability to handle challenges, drive improvements, and implement best practices.
  • Strong organizational skills to manage multiple priorities in a fast-paced environment.
  • Solid financial skills, including budgeting, data analysis, and variance reporting.
  • Experience overseeing office facilities and operations.
  • Excellent communication and relationship-building skills at all levels.
  • Flexible schedule with quarterly travel to regional offices.
  • Strong business judgment with knowledge of project and change management.
  • Results-driven with a track record of completing projects successfully.
