Position Overview

The Illinois Department of Corrections is seeking an Administrative Assistant to the Chief of Parole.

The Staff Assistant provides critical administrative and operational support to the Parole Division by coordinating information, managing confidential data, and ensuring compliance with policies and procedures.

This role oversees Employee Review Hearings, tracks and coordinates staff training, conducts internal reviews and audits, and prepares reports and correspondence for leadership.

Strong organizational skills, discretion, and the ability to communicate effectively with staff, management, and external stakeholders are essential, with occasional travel required.

Essential Functions

  • Serves as a staff assistant.

     
  • Serves as Employee Review Hearing Coordinator.
  • Serves as Training Coordinator for the Parole Division.
  • Conducts studies into problems which affect the parole offices and flow of information.
  • Conducts internal reviews and audits relative to directives received from Chief of Parole, supervisor, and the Director's Office.
  • Monitors submission of all matters requiring the supervisor's signature and approval for compliance with established rules and regulations.
  • Establishes files of documents on pending requests for information/studies.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.
  • Requires one (1) year of professional experience in a public or private organization, or completion of an agency approved professional management training program.

Preferred Qualifications

  • Prefers at least one (1) year of experience making recommendations regarding actions to be taken including reprimands, suspensions, and/or discharges.
  • Prefers at least two (2) years of professional experience creating and maintaining an information database to track trends.
  • Prefers at least two (2) years of professional experience responding verbally and in writing to external and/or internal inquiries.

             
  • Prefers at least two (2) years of professional experience drafting reports for internal and/or external review.
  • Prefers at least two (2) years of professional experience creating and maintaining electronic and paper filing systems.
  • Prefers at least two (2) years of professional experience using computer software systems.
  • Prefers at least two (2) years of professional experience working with and maintaining confidential information.

Conditions of Employment

  • Requires ability to travel in the performance of duties, with overnight stays as appropriate.
  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen.

  • Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.
