Job Summary:

Akima Infrastructure Services, LLC (AIS), is actively seeking individuals who can contribute to national security within the project management and business services fields as part of our staff augmentation team supporting the Department of Energy at Oak Ridge National Laboratory.

AIS has an established history of contributing to the success of our customer’s mission.

Successful candidates will be employees of AIS, a premier government contractor charged with employing highly motivated and well-qualified personnel who can advance the missions of the Oak Ridge National Laboratory in Oak Ridge, TN.

Though employed by AIS, the employee will take day-to-day direction from technical personnel employed directly by the research laboratory.

Pay, benefits, Human Resource, and Employment Management functions are provided by AIS.

Qualified applicants must be a US citizen, at least 18 years of age, and able to meet pre-employment requirements including any required physicals, drug screen, and/or background investigation to satisfy clearance requirements from the Department of Energy.

AIS is looking for a Document Control Support person to work in Oak Ridge, TN to provide document management and/or record management support services.

Responsibilities

Job Responsibilities:

  • Assists with the process of executing and managing documents, including obtaining signatures for documents, gathering, organizing, and managing the contracts documentation.

  • Supports the development of technical procedures.

  • Ensures all aspects of documentation work are completed within the allocated timeframes in line with changing business needs and project objectives and requirement.

  • Archives, logs, audits and preserves digital documents and responds to information requests.

  • Creates and maintains digital filing and retrieval system.

  • Reviews and updates documents for maintenance and quality control.

  • Keeps other personnel updated on new document versions and how to obtain access.

  • Checks documents and identifies basic metadata photocopies, scans, uploads, inputs, indexes, and archives documents and data into the company's document management and storage system.

  • Verifies proper approvals for signature requests and certifies that all documents are signed by authorized individual.

  • Reviews, recommends, and revises organizational business policies to achieve compliance with documents and records management policies, goals, and objective

  • Assures successful task completion under established schedule.

  • Guides others in the use of established document control system tools as necessary.

  • Qualifications

    Job Responsibilities:

  • Advanced knowledge of the standards, procedures, and techniques related to document control.

  • Demonstrated verbal and written communication and interpersonal skills.

  • Demonstrated organizational, recordkeeping, and coordination skills.

  • Demonstrated ability to work with multiple levels of management or technical personnel.

  • Demonstrated ability to work independently on multiple time-constrained projects and to successfully complete each.

  • Ability to maintain required security standards in a classified work environment.

  • Ability to keep current with new developments and adapt to changes as necessary.

  • Ability to use analytical decision-making skills to analyze issues, offer options, establish priorities, anticipates consequences and resolve problems in a variety of contexts.

  • Bachelor’s degree in Business, Engineering or a related field and at least 2 years of relevant experience.

  • Minimum 5 years of relevant experience or equivalent combination of education and experience

  • Proficient in using enterprise level document management software such as Documentum or similar products.

  • Desired experience or education in one or more archival specialties, such as management, preservation, electronic records, cataloging, historical research, or audio/visual materials.

  • Advanced experience in the use of SharePoint and MS Office Suite.

  • Pre-employment Drug Screen - External applicants selected for this position are required to successfully complete a post-offer, pre-employment drug test.

  • Medical Exam(s) - Job related pre-placement medical examinations may be required for this position.
