  • The Executive Assistant to the Associate Vice President, Dean of Students, and Deputy Title IX Coordinator supports a senior administrator in the Division of Student Affairs and Academic Support with responsibility for a large portfolio that includes over staff.

    This is a position that has regular contact with students and parents, many of whom are in crisis.


    This role requires regular interaction with university stakeholders, staff, and students.

    Key responsibilities include managing and prioritizing the Dean of Students calendar, meetings, and events.

    Additionally, the Executive Assistant will oversee administrative operations for multiple offices and provide support to departments within the Dean of Students Unit, including the Fraternity and Sorority Life, Housing, Student Disability Resource Center, and Student Conduct.

    Key Responsibilities:

  • Manage and prioritize the Associate Vice Presidents calendar, meetings, and events.

  • Oversee administrative operations for the Associate VPs office and departments within the Dean of Students Unit.

  • Prepare reports, presentations, and data analysis for initiatives.

  • Coordinate projects, track key issues, and ensure follow-up for effective office operations.

  • Serve as the primary liaison between the Associate VPs office and university stakeholders.

  • Support event planning, logistics, and execution.

  • Facilitate communication and collaboration within the Dean of Students Unit.

  • Job Related Minimum Required Education and Experience Requires a bachelors degree in a job related field and 3 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

    Required Certification, Licensure/Other Credentials Preferred Qualifications Experience operating within a large university.

    Knowledge of or ability to learn University of South Carolina policies, procedures, and administrative systems (Peoplesoft Finance, HCM, PeopleAdmin, and Maxient).

    Knowledge/Skills/Abilities
  • Excellent written and verbal communication skills.


  • Considerable computer mastery with specific knowledge of Microsoft Office Suite (Word, PowerPoint, Excel, Outlook), Adobe Acrobat, and other software programs.


  • Demonstrated strong analytical skills and have the capacity to learn web-based university systems, and interpret and implement policies and procedures.


  • Ability to establish and sustain a positive working relationship with staff, co-workers, administrators, and campus partners.


  • Ability to manage sensitive situations with confidentiality and discretion.


  • Average typing skills.


  • Ability to effectively manage time and prioritize tasks.


  • A positive team-oriented attitude.

  • Job Duties Job Duty Serve as office manager and executive assistant for the Associate Vice President, Dean of Students, and Deputy Title IX Coordinator.

    Schedule meetings, manage calendar, communicate with students and parents via phone, email, or in-person, coordinate training sessions or events, create presentations, purchase office supplies, process procurement and reimbursement transactions, and arrange travel for the Dean.

    Essential Function Yes Percentage of Time 25 Job Duty Serve as finance and HR liaison for the Office of the Dean of Students and Deputy Title IX Coordinator.

    Maintain working knowledge of finance and HR systems.

    Ensure compliance with university policies and procedures.

    Generate periodic reports, as needed.

    Essential Function Yes Percentage of Time 5 Job Duty Provide project management support for student education, prevention, training, and compliance for units within the Office of the Dean of Students .

    Essential Function Yes Percentage of Time 10 Job Duty Assist the Dean of Students in division/university committee membership responsibilities including Policy Advisory Committee, Trauma Response Team (including service as the point person for Horseshoe bricks for student deaths), Continuum of Care Case Management Team, Threat Assessment Committee and others.

    Essential Function Yes Percentage of Time 10 Job Duty Provide administrative support to the Divisions Safely Engaging in Expression Delegates (SEED) Team, including recruitment/selection of members, create and maintain all tracking documents (event details, volunteer details, distribution lists, etc.) in consultation with campus partners, maintain SEED email account, create marketing materials, training support, and volunteer at events.

    Essential Function Yes Percentage of Time 20 Job Duty Provide case management and administrative support for the Carolina Cares Student Emergency Fund, including student advisement, financial oversight, applicant intake, creating/sending letters, scheduling committee meetings, notifying students of committee decisions, tracking data, and report generation as requested Essential Function Yes Percentage of Time 20 Job Duty Recruit, select, and mentor students for the Deans Advisory Council.

    Facilitate meetings and ensure compliance with Beyond the Classroom Matters policies and procedures for experiential learning.

    Essential Function Yes Percentage of Time 5 Job Duty Other duties as assigned.
