Job Description Summary
The Facilities Coordinator I, under general supervision, assists with routine, reactive, preventative, and planned facility maintenance of TVMDL’s state of the art veterinary diagnostic laboratories comprised of biosafety level 2 and 3 laboratories, as well as full-service animal necropsy suites, offices, conference rooms, break areas, and outdoor areas (landscape and water feature).
Keeps buildings in safe, secured condition and in constant working order.
Assists with maintenance of mechanical and electrical operations, HVAC, architecture, and landscaping to ensure building is a comfortable and safe facility for staff and guests.
Position includes working with specialized and sophisticated HVAC, lighting control, and security systems, carcass disposal-thermal tissue digester/pathological waste incinerators, chemical effluent decontamination systems, steam sterilizers, glassware washers, stand-by generators, electrical load banks, automatic transfer switches, fire-tube boilers, condensing boilers, hot water heaters, reverse osmosis/deionized water systems, carcass cold rooms, hoist and monorail systems, laboratory air compressor and medical gas systems, hydronic pumps, glycol energy recovery systems, fire alarm protection systems, and multi-zone irrigation systems.
Responsibilities
Assists with completing routine, preventative, and planned facility maintenance to include custodial, plumbing, utilities, electrical systems, facility equipment, hazardous conditions, damaged walls, floors, and ceilings, building safety and security, and leaks.
Monitors building operations, environmental conditions, carcass disposal systems, chemical effluent decontamination systems, laboratory operations/performance, and facility security.
Completes multiple daily walk-throughs to ensure the facility is safe, secure, and properly maintained; identifies potential safety and operational issues and reports to management as appropriate.
Serves as the first point of contact for operational issues (HVAC alarms, occupant hot/cold calls, plumbing leaks and problems, strange/abnormal facility related smells and sounds), responding with urgency.
Serves as a contact for after-hours facility emergencies.
Assists with the preparation of reactive and preventative work requests.
Tracks maintenance requests through TVMDL’s computerized maintenance management system (CMMS), Aggieworks, and Telecommunication’s systems.
Enters detailed activity notes, including pictures, to the CMMS and keeps management informed of work order statuses.
Coordinates, hosts, and monitors vendors, physical plant, maintenance, and other internal and external parties for the maintenance and repair of TVMDL facilities.
Communicates and coordinates with service providers to support timely and responsive delivery of services.
Assists in reporting service issues, tracking performance, and relaying updates between providers and management.
Helps ensure services meet quality standards by following up on scheduled work and documenting any concerns or delays for management review.
Serves as a point of contact for the disposal of surplus equipment, ensuring items are retrieved, organized, and prepared for transfer or removal in accordance with established procedures.
Serves as a point of contact for confidential records shredding by collecting and taking bins outside for pick-up after authorization to destroy, ensuring secure handling of sensitive data.
Assists with conference room coordination, including setting up tables, chairs, and audio/video equipment as needed for meetings and events.
Supports laboratory and office relocations by helping move and reassemble equipment and furniture.
Assists with special building deliveries and shipments by receiving, transporting, and distributing items to appropriate areas in a timely and secure manner.
Ensures all tasks are completed in accordance with safety and operational procedures.
Performance of these duties may require operating a TVMDL fleet vehicle.
Occasional in-state travel is required.
Operates assigned equipment in a safe manner and in adherence to all TAMUS, AgriLife, and TVMDL policies as well as local, state, and federal laws.
Teamwork & Cooperation
Fosters teamwork, cooperation, professional standards, and communication.
May participate in flex scheduling, including work prior to 8 AM, after 5 PM, on weekends or on holidays.
Participates in cross-training with other Operations staff members.
Provides coverage and support across roles as needed to ensure continuity of operations, maintain service levels, and support team flexibility during staff shortages or peak workload periods.
Quality Assurance & Safety:
Adheres and conforms to quality assurance and safety programs and procedures.
Assists in identifying incidents of nonconformance and noncompliance.
Submits reports of nonconformances according to established schedules.
Actively participates in quality assurance and safety programs.
Assists with building safety efforts by conducting routine safety checks, reporting hazards or maintenance issues, and supporting emergency preparedness activities.
Administrative Duties
Assists with the communication between occupants and other stakeholders regarding facility-related issues to include maintenance and construction.
Performs other job-related duties as required.
Position Details
+ TVMDL is located on the campus of Texas A&M University (TAMU).
Parking permits are available from TAMU at the expense of the employee.
+ This position is based at TVMDL headquarters in College Station but may require travel to TVMDL’s satellite locations in Canyon, Center, and Gonzales to provide similar duties.
+ This position is required to work during normal business hours; however, after hours work is expected when facility issues arise, including work prior to 8 am, after 5 pm, on weekends or on holidays.
+ TVMDL is considered an essential component of the Texas A&M University System (TAMUS) and remains operational for several “open holidays” in which overtime or compensatory time may be earned.
+ Work shall be performed with adherence to federal, state, Texas A&M University System, and TVMDL safety rules, regulations, policies, and procedures.
Perform work in such a way as to not expose others or myself to hazards that are avoidable by reasonable and approved methods.
+ Incumbent will be required to complete a pre-exposure rabies vaccination series (TVMDL will cover all costs).
Qualifications
Required Education and Experience
+ Bachelor’s degree in applicable field; or an equivalent combination of training and experience.
Required Knowledge, Skills, Abilities
+ Knowledge of word processing and spreadsheet applications.
+ Excellent verbal and written communication skills.
+ Ability to multitask and work cooperatively with others.
+ Ability to promptly respond to on-site emergency calls.
+ Ability to exert heavy force.
Required Licenses, Certifications, Registrations
+ Must have a valid Texas motor vehicle operator’s license or ability to obtain within 30 days of employment.
Preferred Education and Experience
+ Bachelor’s degree in facilities management, construction science, engineering, or related field; or an equivalent combination of training and experience.
+ More than three (3) years of related experience in facilities management, building maintenance, or facilities construction.
Preference given to experience in biomedical, hospital, or veterinary facilities.
Experience with boilers is a plus.
Preferred Knowledge, Skills, Abilities
+ Knowledge of database and messaging applications.
+ Ability to develop good working relationships with a wide range of people – internal and external to TVMDL.
+ Ability to constantly be on one’s feet and move about the facility (frequent walking/climbing) and use of sensory systems (hear, smell, see, touch) to identify potential facility issues and lift and move up to 50 pounds.
+ Ability to effectively use a computerized maintenance management system (CMMS), both mobile and computer applications.
+ Ability to perform facilities management including facilities equipment and life cycle monitoring, repair and renovation, maintenance, and security, including HVAC, refrigeration, electrical, and plumbing systems, computerized building automation, asset management, and facility work order/management systems.
+ Ability to use or monitor building automation systems and complex scientific equipment such as effluent decontamination and carcass disposal systems.
Troubleshooting complex building issues and problem solving; using basic tools and performing general repairs and maintenance.
+ High attention to detail and follow through, work independently and exhibit initiative to solve problems, including tracking situations until appropriate resolution is achieved.
+ Ability to read and interpret equipment manuals, submittals, codes, specifications, and drawings.

+ Any related facility management, engineering, mechanical (HVAC), plumbing, electrical, construction, and/or management license and/or credential.
+ Forklift certification (to be obtained within 60 days of hire)
