Job description

Position Summary

/ Career Interest:The Fleet Program Manager is responsible for oversight of the Safe Driving Program of the University of Kansas Health System.

This position reports to the Director, Claims, and Insurance, and collaborates with departments to uphold policies related to safe driving standards, reports and investigates driving accidents, ensures compliance with regulatory requirements, procures new vehicles, and implements annual and periodic safe driving education.

The Fleet Program Manager also creates, enforces, and oversees safety protocols for the organization's transportation operations.

Prioritizes compliance with local, state, and federal regulations while fostering a safety-focused culture and minimizing operational risks.

Implements safety policies and procedures for leased, owned, and non-owned vehicles, and works closely with staff and department leadership to ensure adherence to safety standards, aiming to reduce accidents, regulatory violations, and potential hazards.Responsibilities and Essential Job Functions
  • Maintain an accurate list of current fleet vehicle drivers.


  • Monitor completion of driving training and coordinate with system departments with fleet vehicles and frequent driver positions.


  • Monitor drivers to ensure proper driving practices by periodic observation.


  • Develop relationships with departments to understand their unique driving needs.

    Propose options for meeting those needs.


  • Coordinate purchasing of vehicles to expand and/or enhance the fleet with departments and Spend Management.


  • Create and implement training for employees classified as high frequency drivers.


  • Consult with Human Resources and departments in post-accident investigations and return to work clearance.


  • Manage vendor relationships in support of vehicle maintenance and other needed items.


  • Manage the process for vehicle licensing, registration, titling, and insurance.


  • Schedule regular maintenance on all vehicles, implementing methods to decrease costs and improve efficiency.


  • Provide reports to management on expenses related to auto/fleet claims, size and make up of fleet, vehicle utilization and performance, and educational opportunities.


  • Ensure proper driver licensure, in accordance with state laws.


  • Order urgent or emergency repairs as needed.


  • Review and submit invoices related to the driving program and fleet safety.

  • Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

  • Required Education and Experience
  • Associates Degree OR

  • 3 or more years Relevant experience in fleet operations, safety, and DOT regulatory requirements.



  • Preferred Education and Experience
  • Bachelors Degree


  • Required Licensure and Certification
  • Driver's License and Satisfactory MVR


  • Preferred Licensure and Certification
  • CDL/Commercial Drivers License

  • Department of Transportation Medical Clearance within 1 Year


  • Knowledge Requirements
  • Excellent written and verbal communication skills

  • Excellent leadership skills, including goal setting, motivation and training

  • Expert knowledge of best driving, delivery, vehicle maintenance and other industry practices

  • Basic math and data analysis skills

  • Good problem-solving, critical thinking and decision-making skills

  • Exceptional organization, time management and multitasking abilities

  • Keen attention to detail

  • Proven work experience as a Fleet Supervisor or Manager or similar role

  • Knowledge of vehicle maintenance processes and operations

  • Strong organizational skills

  • Possesses a valid and unrestricted Driver's license and criteria of health system Safe Driving Program
