Job description

Job Summary:


We are seeking an organized and motivated Community Assistant to support the daily operations of a dual community portfolio, including a short-term vacation rental community and a long-term apartment complex.

This position will work closely with the management team to ensure efficient management, guest satisfaction, and tenant retention across both properties.

The ideal candidate will possess excellent multitasking abilities, attention to detail, and a commitment to outstanding customer service.


Key Responsibilities:



  • Guest and Tenant Relations: Assist with guest check-ins/outs and tenant move-ins/outs, addressing any questions, concerns, or special requests.

    Provide a welcoming and friendly presence across both communities.

  • Daily Operations Support: Coordinate with housekeeping, maintenance, and vendor teams to ensure smooth operations.

     

  • Quality Control:  Conduct inspections to ensure units, amenities, and grounds are up to standard.

    Conduct touch-up cleaning as needed.

    Ensure the Marketplace area is clean & tidy.

  • Leasing and Reservations: Support leasing activities for the apartment community and handle booking requests for the vacation rentals.

    Assist with renewals and respond to inquiries about availability, rates, and policies.

  • Issue Resolution: Assist with addressing and resolving guest complaints, tenant issues, and maintenance requests efficiently and professionally to maintain a positive living and guest experience.

  • Administrative Tasks: Assist with paperwork, leasing documents, payment tracking, and record-keeping.

    Update guest and tenant profiles, maintain inventory records, and prepare weekly reports for the Property Management team.

  • Marketing Support: Collaborate with the team on marketing efforts, including online listings, promotions, and special offers.

    Participate in social media initiatives or community events to increase engagement and visibility.

  • Misc.:  Other duties as assigned.


Requirements:



  • Experience: Minimum of 1 year in property management, hospitality, or a related field is preferred; experience with both short-term and long-term rental environments is a plus.

  • Skills: Strong organizational skills with an ability to manage multiple responsibilities.

    Excellent written and verbal communication skills.

  • Customer Focused: A proven ability to handle guest and tenant concerns with professionalism and empathy.

  • Tech Proficiency: Experience with property management software, booking platforms, and basic office applications is preferred.

  • Availability: Must be available to work some evenings, weekends, and holidays as needed to accommodate the needs of both communities.

    Must be on the on-call rotation.

  • Attention to Detail: Keen attention to detail, especially for property inspections, documentation, and guest/tenant communication.
