Are you passionate about global engagement and student success?

As the Global Programs Assistant, you’ll work under the guidance of the Director of VMBS Global and the Associate Dean for Global One Health to support international initiatives across the College of Veterinary Medicine & Biomedical Sciences (VMBS) and play a pivotal role in expanding global opportunities for students.

This role offers the opportunity to collaborate with stakeholders across VMBS and beyond, coordinate impactful programming, and elevate the visibility of global initiatives through strategic communications and organizational support.

Minimum Required Qualifications
+ Bachelor's degree



A well-qualified candidate will also possess
+ Time spent living, working, or studying abroad (NOTE: vacation/conference time abroad does not fulfill this).
+ Demonstrated interest in international opportunities/experiences and supporting others to access such opportunities.
+ Experience working with students and advising, especially at the college level.
+ Demonstrated interest in one health, pandemic preparedness, policy and planning in the US and at the global level.
+ Experience writing for a variety of audiences, e.g., students, faculty, administrators, general public, and strong editing and proofreading skills .
+ Experience organizing/planning and budgeting events.
+ Experience managing professional websites and social media accounts and skills c reating and disseminating publicity.
+ Solid presentation skills to students, faculty, staff and the general public (e.g., parents).
+ Flexible and open to new challenges, with a willingness to adapt to shifting priorities and contribute to team success.
+ Detail-oriented, resourceful, skilled at writing and following directions, skilled with data management, spreadsheets and similar.






What you need to know

Salary: Starting at $17.50/hour, compensation will be commensurate to the selected hire’s experience.



Schedule/Location: Located onsite in College Station, this position has a schedule of Monday through Friday, 8am to 5pm.

Some work outside of normal business hours, including nights and weekends and some overnight travel will be required.

Other: This position involves extended periods of computer-based work.

During events such as informational fairs, the role may require standing for long durations and transporting materials—including tablecloths, laptops, brochures, decorations, cases of water, and promotional items.

As such, the selected candidate should be able to lift and move items necessary for event setup and participation.


Responsibilities
+ Stakeholder Support: Responds to inquiries regarding program offerings.

Advises students on global/one-health opportunities and helps create and/or arrange appropriate opportunities.

Helps students navigate the process to arrange global experiences.

Stays up to date on education abroad opportunities and ensures VMBS students and faculty are aware.

Supports the creation and renewal of international agreements.

Provides coordination support to International Program Advisory Committee by scheduling meetings, recording meeting minutes, implementing committee decisions regarding travel awards, tracking available funds, and coordinating communications.

Supports faculty by working with their visiting scholars to get approval for their visits and coordinate the process for having any necessary immigration documentation issued.

Advises faculty on education abroad program creation, renewal and adaptation and coordinates necessary VMBS approvals for annual program renewal/creation process.

Seeks opportunities to expand the VMBS education abroad footprint through supporting the creation of new faculty-led programs and independent opportunities.

Works with processing international visitors for VMBS so that the proper university and immigration procedure is followed for faculty to host their visitors while cultivating international collaborations.

Travel to other locations to provide in-person support to stakeholders, e.g., McAllen and Canyon, Texas, as well as occasional travel for professional development.

May assist in identifying funding opportunities.
+ Communications: Coordinates communications and marketing, working closely with the VMBS and university marketing and communication teams to prepare and distribute event announcements, plan events, update website materials, and develop and write articles.

Coordinates and expands programs’ online presence ensures that website is up to date and social media accounts have regular posts, engages with the global one health community online, and works to increase the overall visibility of programs, leadership and their engagements.

Tracks and provides information and/or drafts VMBS Global and Global One Health sections for the VMBS annual report, as requested.
+ Office Administration & Operations: Provides support to the Associate Dean for Global One Health and Director of VMBS Global.

Serves as a liaison with business and HR offices.

Represents units in Dean’s Office internal staff meetings/staff contact.

Coordinates meetings and performs calendar management and scheduling, as requested.

Drafts and edits correspondence and takes meeting minutes/notes.

Answers office phone line and email accounts, organizes correspondence, books necessary space, provides meeting agendas, greets and directs visitors, and performs all other functions related to day-to-day operations.

Maintains program records, files, and databases.

Provides office management support to include tracking expenses and budget, office supply and equipment maintenance, and ordering.

Assists in preparation and monitoring of budgets for programs and events.
+ Program & Event Coordination: Serves as a liaison with domestic and international collaborators and visitors and assists in coordinating their visits.

Plans and implements program events such as informational tabling, open houses, conferences, seminars, lectures, meetings, and workshops.

Provides programmatic support for collaborative programs and initiatives in Global One Health and VMBS Global.

Organizes visits for high-level international stakeholders, including active and prospective research collaborators, international partners, International Advisory Board members, and scholar presenters.

Coordinates with the Department of Global Engagement to review agreements for international partnerships with VMBS and advises VMBS stakeholders on global initiatives.

Tracks and collects data regarding international visitors, scholars, and student data.

Tracks and compiles program statistics.

Coordinates Global One Health contributions with the Biosecurity and Pandemic Policy Center at the Scowcroft Institute of International Affairs, including collaborating on agenda planning, speaker recruitment, special project management, editing policy papers, and event planning/coordination.
+ General Program Support: Serves a first point of contact for program information and coordinates responses to requests for program information.

Provides backup support as needed.
