Position summary

The Administrative Assistant and Recruiter for the J.

N.

Andrews Honors Program serves prospective honors students, current honors students and alumni, honors faculty, and Andrews University employees.

This public-facing position assists the program director in managing day-to-day and long-term Honors Program activities and planning; conducts substantial off-campus and on-campus recruiting activities to market Andrews University and the J.

N.

Andrews Honors Program to attract new students; manages all social media platform content; oversees student labor; and provides a variety of daily office services associated with student care, curriculum management, and student recruitment.


Qualifications summary

Applicant should have a completed undergraduate degree, be adept in the Microsoft software suite, possess website editing skills, demonstrate familiarity with Adobe and other publishing software tools, demonstrate a strong social media, brand awareness, and recruiting skillset, a warm interpersonal style, an ability to multitask in a bustling office, and a commitment to off-campus recruitment.

Facility with a second language other than English is welcome.



Must be a Seventh-day Adventist in good and regular standing.

Duties and responsibilities

Administrative Office Duties





  • Serves as program receptionist, welcomes and assists visitors, answers the telephone, distributes mail, manages email queries


  • Works with Registrar in updating and maintaining accurate student records


  • Keeps files of course syllabi


  • Processes and tracks monthly income and expense


  • Handles student lab fees and activities charges


  • Manages the Hold Harmless forms and transportation and ticketing needs for all Honors class experiential learning 


  • Oversees student workers by assigning tasks, evaluating work, completing all necessary paperwork associated with student worker employment; processes student worker materials (e.g. time records, pay rates, etc.)


  • Coordinates Honors Council meeting schedules, communicates with Honors Council members, and prepares and maintains Honors Council minutes


  • Inputs online class schedule


  • Assists faculty with copying, test proctoring needs, etc.


  • Monitors and maintains supplies, printers, etc.


  • Maintains an attractive, clean, and well-ordered workspace


  • Replenishes and maintains hospitality services in the office lobby 


  • Assists with the set-up of program academic and social functions (including occasional events on weekends)


  • Coordinates Honors Forsyth House use arrangements—booking, cleaning, locking and unlocking






  • Recruiting Duties





  • Updates Honors website information weekly


  • Manages the social media sites of the J.

    N.

    Andrews Honors Program as part of a recruitment strategy (FB, Instagram, TikTok)


  • Maintains files on prospective students, current students, and alumni


  • Assists with recruitment activities on a weekly basis and at weekend University Preview events


  • Manages all Student Visits Requests 


  • Conducts off-campus recruitment visits to feeder schools across the United States (Visits in person annually Andrews Academy, Hinsdale Academy, Indiana Academy, Great Lakes Academy, Spencerville Academy, Shenandoah Valley Academy, Takoma Academy, Highland View Academy)


  • Coordinates with members of the University Enrollment team to participate in recruitment activities as a specialist representative of the Honors Program


  • Hosts preview events for Honors via Zoom and in-person


  • Meets with prospective students and families regularly both in-person and over Zoom


  • Texts and emails prospective students to recruit them to Andrews University and Honors


  • Provides course enrollment guidance as students on-board to Andrews University and Honors


  • Crafts marketing materials in support of recruiting efforts


  • Maintains recruiting database and tracks prospective students


  • Manages program applications and prospective student communications


  • Other duties may be assigned





  • Supervisory responsibilities


  • Will oversee the hours of teaching assistants for HONS 105 and HONS 106





  • Qualifications


  • Completion of undergraduate degree preferred


  • Facility with a second language preferred

  • Demonstrates advanced editorial, proofreading, and document formation skills

    Andrews Honors Program when conducting recruiting activities


  • Must lead student workers by example in timely arrival to work, completion of tasks, and focus on work responsibilities


  • Must avoid excessive time on smartphone (other than when working on social media posts for Honors)





  • Physical demands


  • Most work will be conducted at the front reception desk.


  • In the office will replace the 5-gallon water bottle on the departmental dispenser.


  • At major events like Agape Feasts, Honors Church, and Thesis Symposia will be expected to assist in hauling in food and supplies and setting up tables and chairs and easels for the events.
