IntePros is seeking a highly skilled and detail-oriented Office Coordinator with advanced administrative and Clinical Support skills to join our healthcare client in Philadelphia, PA.
This person will provide comprehensive support in both administrative and clinical management.
The ideal candidate will perform a range of tasks that ensure the smooth operation of our office and support for complex patient services.
Responsibilities:
- Perform advanced administrative tasks, including triaging calls, coordinating, and scheduling appointments.
- Assist with complex patient services, such as scheduling appointments, managing checkouts, sending documentation, and contacting appropriate stakeholders.
- Respond to complex inquiries and assist stakeholders according to established procedures.
- Manage and maintain records, including charts, files, and correspondence, following proper procedures.
- Support the maintenance of systems, procedures, and methods for effective record-keeping and reporting.
- Schedule and provide administrative support for meetings, interviews, committees, conferences, and calendar management.
- Prepare presentations, letters, reports, memoranda, and other related materials.
- Oversee office supplies for the department, ensuring availability and proper inventory.
- Assist with the new hire process and employee support, including timekeeping.
- Perform other duties and administrative support projects as required.
Qualifications:
- Basic knowledge of medical terminology and protocols.
- Basic understanding of HIPAA regulations.
- Intermediate proficiency with electronic medical record software (EPIC).
- Intermediate proficiency with word processing software (Microsoft Word).
- Intermediate proficiency with spreadsheet software (Microsoft Excel).
- Basic proficiency with presentation software (Microsoft PowerPoint).
- Excellent verbal and written communication skills.
- Strong interpersonal skills with the ability to work with and relate to people at all levels.
- Exceptional organizational and time management skills.
- Solid conflict resolution abilities.
- Ability to maintain confidentiality and professionalism.
- Capacity to work independently with minimal supervision.
Required Education:
- High School Diploma or GED
- Preferred Experience:Three (3) years of administrative experience in an office and clinical setting.
