Job description

Job Purpose

The Operations Coordinator serves as an office coordinator for the Office of the Registrar.

In this role, the Coordinator is responsible for the following: coordinating the functional operations of the Office of the Registrar; maintaining the departmental operational and commencement calendars; managing the scanning and indexing of student records; providing support to the Registrar and Associate Registrars; managing the work of the federal work study students; and, providing front-line customer service to Office of the Registrar constituents, including transcript and enrollment/degree verification/diploma fulfillment.

Essential Duties - Provide phone and in-person front-end services with all constituent inquiries, requests and applications for academic services, assistance or information which may include additional support during peak times, such as start-of-term, registration and grading seasons, and commencement- Produce and fulfill official transcripts, customized enrollment certifications not covered by the National Student Clearinghouse, grade reports, including the completion of licensure forms- Receive and process incoming academic transcripts and records; scan transcripts into the appropriate database for access by other staff- Manage work study student work; monitor and approve workstudy student hours; request work study student support for the office- Control/monitor inventory and operational budget expenditures for the office; manage purchase orders and check requests; reconcile Purchasing Card expenditures; handle contract and service arrangements with various vendors- Assist with the revisions and procurement of academic forms used across functions; serve as primary contact with Printing Services; coordinate work orders and key requests- Provide significant support for the Registrar and Commencement Director for commencement-related activities; coordinate special accommodations for graduation candidates with disabilities with the Provost’s Office; distribute the commencement program calendar; enter commencement work orders; prepare Office of the Registrar student mailings and signage orders; troubleshoot diploma delivery issues- Guide students in accessing the my.Scranton portal and assist students with any questions they may have.-Assist in the development and distribution of materials and communications, such as academic calendars, operational calendars, and start-of-semester emails- Coordinate with Office of General Counsel to respond to subpoenas for records; contact requesting parties to arrange for delivery of approved records- Provide project support to the Registrar and Associate Registrars Additional Skills Required - Excellent communication and problem-solving skills with enhanced customer service orientation- Demonstrated organizational skills in managing office functions and using designated systems to process various functions- Ability to access, appropriately redirect, and respond to interoffice correspondence- Ability to effectively supervise students in a work setting- Experience using Banner or similar enterprise system and a web portal to deliver and communicate services; working knowledge of Banner strongly preferred- Demonstrated desktop computer usage proficiency, including intermediate level of Microsoft Word, Excel, and Teams- Experience with electronic calendaring tools and email including opening, attaching and sending files; experience using websites and tools to research and provide requested information and guidance- Experience with web-based workflow processes- Ability to understand and effectively relay academic service and resource information- Ability to be team-oriented while working both independently and collaboratively

Minimum Education Requirements - High school diploma or equivalent Preferred Education Minimum Job Experience Requirements - Minimum of three (3) years of progressive experience in student or customer services in a comparable environment Preferred Qualifications
