Overview

:

Under the direct supervision of the Senior Advisor for Strategy and Change Management, and in extensive collaboration across the department, the Operations Manager will be part of a team responsible for leading, implementing, and coordinating strategic changes within the organization.

Provide support in all efforts to foster a collaborative team culture and enhance current systems, practices, and procedures for the organization.

Provide assistance to the Chief of Planning, Deputy Chief, and to the organization as a whole.

Responsibilities:

  • Develop and implement recommendations for improving current policies and procedures pertaining to the operations of the organization such as improvements in meeting management, internal communications, and other such areas.
  • Collaborate with cross-functional teams to develop and implement employee engagement strategies that align with organizational goals and enhance team performance.
  • Organize employee functions and educational opportunities to promote professional growth and build team synergy.
  • Support translating vision and ambitious goals of our multi-year strategic roadmap with recommendations for prioritization, sequencing, and resource management to deliver output and outcomes.
  • Document existing operating procedures and, working with internal stakeholders, identify areas of misalignment with organizational goals.

    Ensure operational protocols are written down and shared with all appropriate internal stakeholders.
  • Coordinate agendas, preparation, and distribution of materials, and other logistical arrangements for both internal and external meetings.

    Support the planning and preparation for all staff meetings and other major organizational meetings as needed.
  • Produce slides, reports, memos, and/or other written forms to facilitate conversations, show qualitative and quantitative analysis, recommend, support decision-making, and communicate to internal and external stakeholders.
  • Develop efficient and effective standard operating procedures to institutionalize change without excessive bureaucracy and without stifling innovation and initiative.

  • Ensure high quality content is developed in advance of recurring and ad hoc stakeholder meetings (.

    weekly leadership team meetings, mayor’s office briefings), agenda are shared in advance, and follow up actions are distributed to attendees.
  • Prepare regular “weekly wrap up” and “two week look ahead” management briefings to keep leadership team members informed and coordinated.
  • Create, review, and update onboarding and training documents and training plan to reflect organizational change.
  • Be inquisitive and think outside the box to identify opportunities to both bring best practices from other communities to Boston and to establish innovative leadership in structuring planning and development work.
  • Maintain and update current knowledge of policies and procedures, pertinent executive orders and ordinances, and other applicable regulations or statutes pertaining to the operations of the Planning Department.
  • Establish, maintain, and update files, both electronic and paper.

    Locate and retrieve requested materials.
  • Conduct effective internal communication at all levels of the organization.
  • Perform other related duties as required.
  • Minimum Entrance Qualifications:

  • Work requires completion of a bachelor’s degree in Urban Planning, Economics, Public Administration, Liberal Arts, Business Administration, or related fields or equivalent, plus a minimum of 2-3 or more years’ related experience in administration preferred.

  • Must have exceptional organizational skills and be comfortable handling several tasks at once.

  • A high level of proficiency with office software is required, including proficiency with Microsoft Office, Google Suite, Access, Zoom, and Adobe Creative.
  • Experience with Salesforce is a plus.

  • Excellent communication and interpersonal skills are required to interface with people at all levels of government and in the private sector.

  • Exceptional critical thinking and decision-making skills are necessary.

  • A genuine interest in learning about the field of Urban Planning and eventually advancing in the profession is highly desirable.
  • Work Environment:

    Office environment, occasional site visits.
