Job Summary

The First Year Experience (FYE) Academic Assistant will be responsible to manage, maintain, and track all data related to the FYE programs and provide logistical support to the FYE office.

The position reports directly to the Associate Director of First Year Experience.

Department-Specific Responsibilities

  • Support First-Year Experience (FYE) programs including Bridge Week, First-Year Seminars, and Learning Communities in fulfilling the FYE mission to ensure the successful transition of all incoming first-year students to the campus.
  • Manage, maintain, and track all data related to the FYE program.

  • Track and manage student employee time sheets in consultation with the Assistant Director of the FYE Mentor Program.
  • Liaise with key academic stakeholders and provide instructional and logistical support for first-year seminars and learning communities, ensuring adequate resources, and coordinating instructional support for faculty and student mentors.
  • Manage instructional space assignments for all credit-bearing DUE courses and all Bridge Week programming.

  • Deliver exceptional customer service and support to students, families, and faculty, addressing questions and resolving issues to promote the success and retention of undergraduate students.
  • Compile and track the first-year seminars and learning communities' schedules from all academic schools.
  • Create, process, and track teaching agreements and hiring documents for all UCOL-U 110 instructors and all Bridge instructors.

  • Help track enrollment patterns and monitor fill rates for UCOL-U 110 courses and work with the Associate Director of FYE in adjusting enrollment caps as needed.

  • Assist with coordinating FYE events including venue logistics, catering, promotion and attendee registration.
  • Assist with administrative needs related to the daily operations, planning, and implementation of the FYE office.

    Perform duties such as answering phones and email, delivering messages and mail, and scheduling.

  • Serve as a liaison to campus partners for cross-departmental student services initiatives, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation.
  • Support students, faculty, and staff by acting as a key resource, analyzing data, preparing reports, and providing essential documentation to aid in their success.
  • Accurately maintain databases.
  • Provide directions, support, and information to visitors in the IEL.
  • Assist with the preparation and dissemination of handouts, presentations, or other materials as needed.
  • Assist with ordering or creation of promotional materials for departmental needs.
  • Perform other duties as assigned.

  • Working Conditions / Demands

    This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment.

    The position involves sedentary work as well as periods of time moving around an office environment and the campus.
