Brown and Caldwell is seeking a Project Coordinator to support projects in our New York City Program.

Our ideal candidate will proactively partner with Program Managers, Project Managers, and other project team members to help manage and coordinate projects from start to finish.

This position will be based in New York City, NY.


Detailed Description:


The Project Coordinator is responsible for providing quality assurance and contract compliance across the New York City portfolio of projects and pursuits.

Specific duties include the following:

  • Assist project managers in contract agreements, project set-up, and control of project schedules and costs.

  • Support Project Managers, Task Managers, and Deputy Task Managers in the collection/distribution of data, communications, and coordination of team deliverables.

  • Assist with the delivery of clients, preferably NYC DEP construction or design services during construction projects, required administrative requirements necessary for the contract, using Clients' specific document control systems.

  • Execute document control procedures and ensure document control activities such as folder management, editing, formatting, version control, and distribution management are completed in a timely fashion and in accordance with contractual requirements.

  • Develop and maintain periodic status reports to keep management and/or clients informed of contract progress.

  • Develop presentations/reports for internal and external audiences.

  • Assist Quality Manager with coordination, tracking, and reporting of QA/QC efforts for various projects.

  • Coordinate compilation and perform formatting of agreement and construction contract documents.

  • Assist with the development and management of construction administration support activities including construction procurement activities, change management, submittal, and RFI reviews and tracking.

  • Coordinate and track execution of contracts including subcontracts, approvals of sub-consultants, etc.

  • Perform office management duties as required.
  • Desired Skills and Experience:

  • Bachelor’s degree in Business Administration or similar work experiences.

  • A minimum of five years of experience in a professional office setting is required; experience in project management/coordination in the A&E and construction industry is strongly preferred.

  • Previous experience in the design/construction industry is preferred.

  • Candidate must be proficient in Microsoft Word, Excel, and Outlook.

  • Experience with e-Builder and ProjectWise and PowerPoint and MS Project skills are a plus.

  • Candidate should be able to anticipate project needs and identify work assignments independently.

  • Candidate should be comfortable working directly with senior managers and technical staff.

  • Strong command of communication skills in order to articulate concise problems and resolutions.

  • The successful candidate will be detail-oriented, proactive, and self-motivated.

  • Ability to follow detailed procedures, multi-task, and prioritize required.

  • Ability to work both independently and in a team environment required.

  • Understanding of project management and ability to leverage resources to execute in accordance with deadlines.

  • Candidate should be willing to work occasional overtime.

  • The position will be based in New York City, NY.
  • Salary Range: The anticipated starting pay range for this position is based on the employee’s primary work location and may be more or less depending on skills, experience, and education.

    These ranges may be modified in the future.


    Location C: $87,000 - $118,000
