Job Summary
The School of Music is seeking a Scheduling Analyst to provide scheduling, administrative, and analytical support for faculty, students, and leadership.
Reporting to the Director of Resources and Operations and working under the direction of the Department Chair, the Scheduling Analyst plays a key role in course scheduling, temporary faculty appointments, and student success initiatives.
This position requires strong attention to detail, the ability to analyze data, and excellent communication skills to support academic operations in a fast-paced environment.
Key Responsibilities
Develop and maintain effective class schedules, ensuring alignment with curriculum requirements and student success goalsCoordinate course scheduling, classroom assignments, and faculty teaching loads; process schedule changes and corrections in the University’s systemSupport temporary faculty appointments, including processing appointment papers, salary coordination, and maintaining personnel recordsCompile and analyze data related to enrollment planning, faculty workload, and budget alignmentAssist with faculty recruitment scheduling and documentationMaintain databases on faculty assignments, ensuring compliance with university and collective bargaining requirementsProvide administrative support to the Director’s office and coordinate day-to-day office operationsSupport student success by tracking retention, graduation, and other student progress metricsAssist with outreach, alumni engagement, and coordination of music school activities Knowledge, Skills & Abilities
Ability to communicate with constituents in a professional and respectful mannerThorough knowledge of faculty recruitment, appointment and evaluation procedures for temporary facultyThorough knowledge of scheduling and curriculum processesAbility to analyze room usage needs and to request appropriate classrooms and labs for course offerings on a semester-by-semester basisAbility to evaluate and coordinate office assignment for permanent and part-time faculty based on teaching schedules, advising schedules, and researchThorough knowledge of word processing and spreadsheet softwareKnowledge of basic methods and procedures for research and statistical analysis and the ability to apply themAbility to analyze data and make accurate projections using business mathematics and basic statistical techniquesAbility to analyze data related to enrollment planning to support the operational needs of the departmentAbility to organize and plan work and projects including handling multiple prioritiesAbility to maintain confidentiality and appropriately handle sensitive communicationsAbility to compile, write, and present reports related to program or administrative specialtyExcellent analytical, oral and written communication skills are essentialAbility to initiate, compose and appropriately format correspondence and reportsDemonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unitStrong organizational skills and attention to detail Required Qualifications
A bachelor's degree and/or equivalent trainingAdministrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs Preferred Qualifications
Bachelor’s degree in Music or Arts managementFour (4) years’ experience in administrative work analyzing and coordinating complex activities, projects and documents associated with multifaceted programs.
Administrative work, preferably in an academic settingExperience with software applications such as MS Office for composing memos, letters and other public correspondence and competency in developing and analyzing spreadsheets and or data using tools such as Excel, Google sheets or FileMakerProExperience with Google Apps to support collaborative work assignmentsExperience working with tools based on PeopleSoft, Oracle, SAP or similar enterprise database systemsExperience establishing and maintaining cooperative working relationships within a diverse multicultural environment Compensation
Classification: Administrative Analyst/Specialist – Non-Exempt
Anticipated Hiring Range: $5,667/month - $6,000/month
CSU Salary Range: $3,879/month - $7,488/month
