About the Role:
The Design Coordinator is a detail-oriented role at the heart of the store design process, ensuring projects run smoothly.
This position is an exciting opportunity to bring creativity and organization together—managing project setup, design agreements, and documentation while facilitating seamless communication between internal teams, vendors, and members.
You’ll play a key role in shaping store environments by reviewing and coordinating design elements, from floor plans to signage, while also overseeing vendor quotes, order placement, and logistics.
With a strong focus on efficiency and precision, this role is perfect for someone who thrives in a fast-paced, collaborative environment and is passionate about bringing design projects to life.
Responsibilities include:
+ Project Setup & Documentation:
+ Establish new design projects in the internal system, verify contact details, and maintain accurate documentation.
+ Prepare and distribute design agreements via DocuSign, track responses, and ensure proper record retention.
+ Generate and send client-facing documents, including welcome letters, team rosters, and project updates, while ensuring internal teams remain informed.
+ Design Coordination & Review:
+ Review floor plans, elevations, signage plans, and renderings for accuracy and brand alignment before sending to members.
+ Ensure all design elements and required materials are clearly communicated to stakeholders.
+ Financial & Vendor Management:
+ Request, review, and process vendor quotes for interior and exterior design elements, including signage, graphics, and materials.
+ Manage purchase orders and track shipments for signage, millwork, and other design components.
+ Oversee member billing, travel expense processing, and vendor invoice reconciliation.
+ Project Tracking & Communication:
+ Monitor project progress, maintain up-to-date timelines, and ensure all stakeholders are informed.
+ Update internal records upon project completion and ensure final documentation is properly archived.
Education and Experience:
+ High school diploma or equivalent with relevant administrative or project coordination experience.
+ Proficiency in Google Workspace (Gmail, Drive, Docs, Sheets, Calendar) and project management software.
+ Strong organizational and multitasking abilities, with excellent attention to detail.
+ Effective communicator with strong interpersonal skills to collaborate with internal teams and external vendors.
+ Financial and cost accounting experience, with the ability to reconcile invoices and track project finances.
