The Temporary Mail Services Assistant is responsible for the accurate and timely handling of all incoming and outgoing mail for the University.

This includes collecting, sorting, processing, and distributing mail and packages to designated offices, mailboxes, and pick-up counters.

The position also assists with logging deliveries, maintaining detailed records, and ensuring compliance with all applicable postal regulations.

Essential Duties and Responsibilities

  • Collects, sorts, processes, and distributes incoming mail and packages to the appropriate departments or individuals.

  • Logs all incoming deliveries and ensures accurate documentation and prompt notification to recipients.

  • Prepares, bags, and processes outgoing mail in accordance with postal regulations; operates postage meter machines to weigh, stamp, and track outgoing mail.

  • Maintains records of metered, registered, and insured mail transactions.

  • Operates various mailing equipment and related software systems.

  • Provides excellent customer service by greeting and assisting students, faculty, staff, and visitors.

  • Advises on the most efficient and cost-effective mailing methods and sells mailing supplies as needed.

  • Ensures compliance with all established university procedures and postal regulations.

  • Notifies appropriate personnel of any discrepancies or delivery issues.

  • Uses specialized software to process address data in accordance with USPS regulations and handles sensitive or confidential information responsibly.

  • Trains to operate the university’s campus-wide mass email system (Read Green).

  • Performs other duties as assigned to support mail and communications operations across the university.

    Ability to lift up to 70 pounds; will be standing, sitting or walking the entire day.
