Undergraduate Program Coordinator Job Opening In USA, USA – Now Hiring Seattle University

Position Description

Purpose:


The
position-holder is responsible for coordinating the planning, promotion, and
successful implementation of departmental and student-related academic
programming and communications.

Work Schedule: Full-time during the
Academic Year (10 months) and Part-time during the Summer (2 months).


Essential Job Functions:

Student Academic Planning and Coordination (30%): 

  • Work in coordination with the administrative assistant and
    the College of Arts and Sciences professional advisors and departmental
    advisors to coordinate and triage the needs of Psychology students to plan
    necessary coursework for on time graduation.
  • Analyze student registration needs each quarter with
    pre-registration survey.
  • Explain different undergraduate degree
    options/requirements to prospective students.
  • Coordinate Undergraduate External and Internal Practicum
    Placements (20%): 

  • Maintain relationships with current sites and supervisors.
  • Investigate new placement options across industries that
    employ and/or train psychologists (both inside and outside of the academy).
  • Facilitate student evaluations with site supervisors.
  • Be first point of contact for site supervisors to contact
    with questions.
  • Coordinate
    Departmental Conferences and Events (25%):

  • Coordinate and broadly publicize colloquia each quarter with
    outside speakers (recruited by chair).
  • Coordinate with academic calendar to coordinate events.
  • Organize two existing departmental research conferences,
    hosting 30-40 research presentations across our undergraduate and graduate
    programs.
  • Coordinate with instructors of courses, as well as mentors
    of graduate research theses, to identify scheduling needs, including program
    timing (, student schedules).
  • Communicate with our faculty to identify and train emcees
    and point-persons for the event, as well as the roles of student workers.
  • Produce and format research conference promotional materials
    for our website, social media, and any relevant handouts (, programs).
  • Manage faculty, instructor, and student inquiries.
  • Other event coordination.
  • Reserve rooms, technology, and catering, as needed.
  • Engage in day-of event coordination involving room, signage,
    and technology set-up, welcoming students, attendees, and presenters to event.
  • Technological facilitation of online event sessions, as
    needed.
  • Front Desk Work (15%):

  • This position will manage the physical outward facing front
    desk of the department, including taking walk-in questions from students,
    supervising student workers (in coordination with the administrative
    assistant), and answering the phone.
  • Website Maintenance, social media, and External-facing
    Communications (5%):

  • Maintain the departmental website in coordination with the
    Director of Marketing and Communications in the College of Arts and Sciences.
  • Tracking and posting student awards/featured students and
    faculty.
  • Collating and managing alumna news (see also: alumna
    outreach).
  • Posting colloquia and related information (nationally
    recognized speakers, advertised to university).
  • Tracking and posting employment, volunteer opportunities,
    and general communications via website and social media.
  • Draft, edit, and proof-read website documentation and
    communications, for multiple audiences (parents, prospective students, etc.).
  • Design and manage websites via the university’s content
    management system.
  • Provide technical assistance and coordinating more complex
    assistance with IT Services.
  • Regular Alumni Outreach (5%):

  • Work in coordination with Seattle University Alumni
    Relations to engage in alumni outreach.
  • Through this outreach, create a repository of information,
    including data on post-graduate employment, graduate school admissions,
    post-graduate activities, etc..
  • Collate a network for career planning/mentors/job contacts,
    etc.

    with our alums and keep updated through regular contact.
  • Use online platforms to coordinate networks (, LinkedIn).

  • Qualifications


  • Bachelor's degree or some college with four or more years of
    progressively responsible experience in program coordination or an equivalent
    combination of education and experience.
  • Ability
    to work independently with little supervision, as well as on team-oriented
    projects.
  • Ability to successfully complete an online computer skills
    assessment administered by the Office of Human Resources.

  • Software in the
    assessment includes: MS Word, MS Excel, and MS PowerPoint.

    In addition, ability
    to manage scheduling software via MS Outlook and to update websites using a
    content management system.
  • Strong interpersonal skills with the ability to interact
    with diverse groups of people with a professional demeanor and to manage
    confidential information.
  • Ability to communicate effectively by telephone, in person,
    and via written communication.
  • Strong writing and editing skills as well as highly
    organized and detail-oriented.
