**Job Summary**

The Department of Women and Gender Studies (WGST) at CU Boulder invites applications for the Undergraduate Program Professional position! This role is vital to the overall health of the academic operations of the department and is responsible for ensuring that these operations run smoothly and that operational decisions are data informed.

The individual in this role is responsible for supporting undergraduate students academically and developmentally, while also guiding them through applied experiences in alignment with the College's and Division's vision that all SSCI students participate in an applied experience before graduation.

This role also provides accurate, timely, and relevant analytic support to staff and faculty within the department to improve academic operations, including, but not limited to, course scheduling.This position uses initiative and professional judgment to create and build interdisciplinary relationships to improve student experience, including with other academic units, the Academic Advising Center, numerous units in the Division of Student Affairs, the Alumni Association, and various student organizations.

This position designs and implements new ideas for programming, communication, and processes to maintain and improve undergraduate education in the department.

Additionally, this includes collaborating with faculty, staff, and students to innovate strategies to enhance the opportunities, performance, retention, and graduation rates of students.

The position serves as the clearinghouse for rule, policy, and program changes and is responsible for informing faculty, staff, and students of these changes, as well as developing strategies to implement those changes, and is responsible for incorporating student feedback into department operations and decisions.

**What Your Key Responsibilities Will Be**

_Academic Program Operations:_

+ This position is responsible for clarifying and educating constituents on policies, resources, and goals related to academic program operations (constituents include students, alumni, faculty, staff, affiliated offices, and individuals).
+ Oversees and implements all academic course scheduling and processes within the department and with the Office of the Registrar and the Arts & Sciences (A&S) curriculum office.

+ Gathers and analyzes student and course data to inform department faculty and staff, as well as advisors, on enrollment and registration issues, as well as general student and curricular issues.
+ Gathers and analyzes data from teaching requests, multi-year course enrollments (including waitlists and fill rates), and advises faculty and staff leaders on changes needed for academic course scheduling to meet student demand.
+ Initiates and facilitates group meetings to determine annual course schedules.

+ Oversees the department's undergraduate fellowship, scholarship, and prize opportunities, application reviews, awarding, and post-acceptance in the university's common scholarship platform (BAM), in compliance with UCB Scholarship Administration Policy & Gift Fund Purpose Reports.
+ Oversees the department's undergraduate student applied experience programming (research, internships, community engagement, etc.).

+ Advises students and faculty on departmental applied experience opportunities, requirements, policies, and procedures.
+ Maintains records of student progress and success in applied experience programming, analyzes and provides data to the Associate Chair for Undergraduate Studies, and helps with the further analysis of this data to track the Department's progress in increasing the number of SSCI undergraduates who obtain applied experience.
+ Coordinates events to highlight undergraduate achievements and recruit students to participate in departmental applied experience programs.

+ Oversees departmental Honors admissions and examinations.
+ Direct the undergraduate student registration process by monitoring data entry into CU-SIS; researches registration problems; advises and assists faculty members, instructors, and undergraduate students during each semester's enrollment and schedule adjustment period.
+ Registers students for undergraduate internship and independent-study credits.
+ Manages the departmental curricular processes, including oversight of faculty CIM requests, including new course proposals, current course changes, and yearly catalog edits.

This requires expertise in the Office of the Registrar curricular policies and close coordination with the A&S curriculum office to ensure alignment with A&S gen ed and curricular nominations/reviews, and advises faculty accordingly.
+ Oversees Special Action and Change of Record forms for undergraduate students.
+ Serves as departmental final grade liaison.
+ Maintains the undergraduate program course content on the department website.
+ Develops and maintains diverse databases related to undergraduate program operations.
+ This position oversees all aspects of the departments spring commencement ceremony, including developing a run-of-show for the event, collecting and collating relevant student data, communicating with attendees, booking space, and managing the budget.

_Undergraduate Community Building:_

+ This position oversees all aspects of undergraduate community building within the department and works with colleagues within A&S and the Social Sciences division on cross-departmental community building opportunities.
+ Facilitates connections between undergraduate majors and faculty to foster research opportunities and mentoring.
+ Works with the unit and First Year academic advisors on information tables, student events, and enrichment programming.
+ Uses their expertise in departmental and student data to create data-informed community-building events for majors and minors, including communicating with attendees and booking space, as well as working on shared events that require direct collaboration with offices and units across campus.
+ Establishes a communication plan to ensure undergraduate students are aware of opportunities, including internships, student events, due dates, and applied experiences.
+ This position is responsible for general marketing materials and communications, with the goal of strengthening engagement among students and alumni.

_Administrative and Department Support:_

+ Serves as backup to other staff roles in the department as needed.
+ Manages department calendar and room reservations, collects and maintains syllabi and office hours each semester, and maintains the administrative front office as an organized and functional space.
+ Serves as primary contact for general department inquiries, manages department listservs, coordinates website maintenance, and oversees distribution of department promotions (courses, events) to the campus community.
+ Hires and supervises student employees to help with administrative tasks, office coverage, website maintenance, and other duties as needed.

Ensures that student employees have access to and take relevant trainings as needed
+ Manages general supply ordering and procurement for the department.
+ Resolves day-to-day purchasing and related issues with the Financial Service Center and Procurement Service Center, and day-to-day issues with OIT.
+ Seeks to improve efficiency and recommends process modifications and improvements based on analysis of operations.

This requires continuous development of new perspectives and skills to improve processes.

_Serve as:_

+ OIT and Phone Liaison
+ FCPP administrator
+ Parking liaison
+ CCURE and Key liaison
+ Backup building proctor contact

_Other/Projects:_

+ Specializations, special projects, process improvements, etc.
+ Other duties/projects as assigned that support the department's undergraduate program.

**What You Should Know**

+ Hybrid Schedule: At least 3 days/week on campus.

This can be subject to change based on the business needs of the department.
+ Employees may be expected to be on campus up to 5 days a week during the initial training period.
