Film Coordinator (9723C) - #81424 at University of California, Berkeley.

This role is within the Berkeley Art Museum and Pacific Film Archive (BAMPFA) and involves planning, execution, and technical management of the film exhibition program.

Position Summary

The Film Coordinator plays a key role in the planning, execution, and technical management of BAMPFA’s year-round film exhibition program.

This position oversees technical rehearsals, coordinates film and digital media logistics, manages guest artist support, and ensures high-quality presentation of films in the Barbro Osher Theater and Theater Two.

The role reports to the Director of Film and Senior Film Curator and serves as a primary logistics contact for projectionists, A/V staff, curators, and external partners.

It also includes occasional work in BAMPFA’s Richmond film vault to support preservation, cataloging, and archival preparation.

This role requires strong technical, organizational, and interpersonal skills, with the ability to manage multiple projects and maintain attention to detail.

Responsibilities

  • Film Program Technical Coordination: manages all technical rehearsals and public programs; serves as Program Manager for events in the Barbro Osher Theater; coordinates technical production meetings; prepares and distributes technical documentation; schedules rehearsals and maintains current technical information; ensures optimal sound and image quality during screenings; resolves technical issues with digital formats, DCPs, or archival prints; inspects incoming film materials; oversees special technical projects; provides occasional film introductions; supports technical coordination for Theater Two and the Outdoor LED Screen as needed.
  • Guest Artist & Public Program Support: plans and organizes guest dinners and events for visiting artists; manages logistics for guests (travel, accommodations, honoraria, hospitality); conducts research and books travel; coordinates with the Business Office to process honoraria and vendor forms; serves as a primary host for international visitors; prepares and tracks Speaker Release Forms and documents guest participation.
  • Film & Media Logistics (Print Traffic & Shipping): oversees inbound/outbound shipments; develops shipping plans for festivals, tours, and multi-venue events; researches shipping vendors and negotiates rates; reviews shipping invoices and provides cross-training for related duties.
  • Administration, Data, And Communications: maintains FileMaker Pro database records for film bookings, formats, rental rates, rights, and guest logistics; coordinates with internal departments for smooth operations; purchases materials; proofs program guides and web content; liaises with A/V for videography; provides data for grants and assists with grants.
  • Public & Institutional Representation: acts as Theater Manager during screenings and events when needed; coordinates with guests and staff to uphold standards for visitor experience; may perform public-facing duties such as Q&As.

Required Qualifications

  • Knowledge of film exhibition formats and experience with film, plus strong understanding of cinema technical presentation standards.
  • Excellent communication and public speaking; ability to work with curators, filmmakers, and guest presenters.
  • Ability to establish and achieve goals; extreme accuracy and attention to detail; strong writing skills for various documents.
  • Ability to manage multiple demands in high-pressure environments and solve problems effectively; working knowledge of exhibition practices, customer relations, and event management.
  • Ability to work on multiple projects with competing deadlines; leadership abilities to guide Work Study students; proficient in Word, Excel, and FileMaker Pro; initiative and ability to work independently and as part of a team.
  • Physical ability to lift and carry up to 65 lb; technical understanding of film exhibition formats; experience managing staff.

Salary & Benefits

Budgeted hourly range: $33.81 (Step 9) - $35.87 (Step 12).

This is a full-time (40 hours/week), career position eligible for UC Benefits and non-exempt with biweekly pay.
