POSITION: Contract Analyst - Mayor's Office of Public Safety, Grants, Finance & Contracts Unit
SUMMARY:
The Mayor's Office of Public Safety (MOPS) strives to serve all Angelenos by implementing and expanding innovative programs, policy solutions, resources and initiatives to build a safer city. The office oversees the City's public safety agencies, including the Los Angeles Police Department, Fire Department, Emergency Management Department, as well as the law enforcement agencies at the Port of LA and Los Angeles World Airports. MOPS is made up of a Policy Team, Program Team, Grants & Finance Unit, and Crisis Response Team.
PRIMARY RESPONSIBILITIES: This position assists with the Contract Unit's administrative needs, including: researching and summarizing reports, drafting letters and assisting with correspondence. Additionally, this role maintains databases and filing systems, prepares documents, and schedules meetings.
Job duties include:
Provide a broad range of administrative duties and support to the Contracts Unit to enhance office effectiveness.
Draft and send correspondence and documents on behalf of the team.
Handle communications with subrecipients, contractors, and Community Based Organizations (CBO), etc.
Provide administrative support for procurements and contract and amendment execution (i.e., scanning, uploading/downloading, retrieving, filing, archiving, etc.).
Maintain contact lists and document-tracking spreadsheets.
Monitor deadlines and maintain calendars with important and upcoming events.
Demonstrate familiarity of relevant procedures and protocols
Demonstrate competence in computer literacy.
Possess ability to handle multiple tasks, assignments, and projects concurrently.
Conduct research of applicable sections of the Los Angeles Administrative Code, Code of Federal Regulations, and grantor rules and regulations.
Perform other administrative duties as assigned.
Take notes during meetings and assist with meeting materials, including but not limited to, agendas, power point presentations, handouts, etc.
Exercise the highest standards of personal integrity and honesty.
REQUIREMENTS:
College/Undergraduate degree
Preferably with 1-2 years contract administration or law clerk experience
Excellent written and oral communication skills PREFERRED REQUIREMENTS:
Prior government work experience
This is an exempt, at-will position. The individual appointed to this position will not accrue any civil service tenure, contractual employment rights, or due process rights.
