Hours: Monday-Friday 8:00am to 5:00pm; Other days and hours as neededRole: Manages the Imaging Department and performs a variety of duties involved with imaging process.Essential Functions & Responsibilities:Responsible for building a cohesive and effective team as well as serving as a mentor and role model for the staffStaff Management: Recruit, train, and develop quality staff members; Build and support a positive team environment; Provide continuous motivation and contact with team to maintain a quality service culture; Exercise the responsibilities of a department manager concerning staffing, performance appraisals, promotions, rewards and recognitions, salary administration and terminations; Make approved personnel changes as required to maintain service objectives; Conduct annual performance reviews on all Imaging RepresentativesAssume a working role assisting with prepping, scanning, and importing processAssist bank employees with questions on imaging systemWork with Foxit PDF Editor to import/export pdf documents in imaging systemEnsure operating procedures are representative of all functions of the departmentPerform quality control on scanned/imported DocumentsArchive and retain physical documents after scannedMaintain scanning equipmentCompile complete files for Subpoena/summons requestsAssist with Annual FDIC and State examsResponsible for Vault Operation, i.e., filing, logging, tracking and maintaining physical-scanned documents. As well as administering Vault database (Running transport, backing up database and purging files)Work with business owners to clear missing documents.Provide backup for members of the Imaging Team when they cannot be in the bankPerform System Administrator functions for Alogent AccuAccount, AccuDoc and AccuAccount Trust: Defining any new document types, loan type, etc.; Identifying problems in AccuSystems and work with Alogent support and/or CoreFirst IT to resolve problems; Performing Maintenance on Multiple Tax ID Entities (MTE) after nightly process; Performing maintenance on duplicate accounts/customers as needed; Providing monthly missing documents reports and working with business owners to resolve any missing documents; Performing Purge function for closed accounts/loans after retention date; Help perform system upgrades and software updates as neededAchieve and maintain general knowledge of all aspects of the bank and its services in order to create add on sales opportunities and answer customer questionsConduct all interactions with internal and external customers in accordance with The CoreFirst WayOther duties as assigned.Please note this description is not designed to cover or contain a comprehensive listing of activities, duties, or responsibilities that are required of the employee for this job.
